I was wondering how many other technicians out there keep an inventory list of tools. I just started doing mine and needless to say its going to take me a while aka days of time working on it. It will be divided amongst lunches and coming in on weekends aka my free time to complete it. It was brought up to me a while ago if someone were to break in and steal tools or if the place burnt down or blew up how would they know what tools I had and how much money to give me. Not to mentions the quality of tools is a downward trend and it is getting really bad when snap-on cannot even build a proper tool any more. Here are the criteria I have been entering into the list: Manufacturer, Serial Number/Model Number, Country of Origin, Drive, Size, Type (Extension, Spark plug socket, etc), Forged Code ( -V- or -VA- etc), Alloy, Patent Numbers. I am also thinking I might put down the date of purchase and where but, I already have enough criteria before I get into that.

Your list should be backed up with a cell phone video.

Ditto to using a camera to take pictures or video of your tools. Insurance companies recommend this method for taking an inventory. You can then use the pictures/video to outline and compile your inventory list.

Also, it would be wise to store copies of your inventory (physical printouts and digital data) in multiple locations in case of an unfortunate event, like a fire or theft, occurs in one location.

I took a video of all my tools before i started doing the inventory. I would agree video is best but, considering the amount of tools and the fact that I don’t own a box to have them all laid out nice and neat a video would not suffice. I unfortunately do not possess the money to buy the appropriate add-ons to my box and/or a new box atm so I am left with my craftsman industrial box http://www.craftsman.com/craftsman-46inch-wide-13-drawer-industrial-grade-tool/p-00902915000P?prdNo=1&blockNo=1&blockType=G1 being completely full with things stacked on one another. I also have a plastic tool cart that is 36 by 48 with an upper and lower level completely full also. It is about time for a new box or add-ons I just lack the funds to do it.

For those of you looking to kill over 1hr and 15 mins here is my video of work tools. Mind you I was very very tired no coffee and it was my day off.

I did this once myself a long time ago, but the list is now outdated. I would like to do it again, but it would be a solid two to three days to get it done. I just did manufacturer, a description, and a part number per item line on a spread sheet. I also did quantity because there are plenty of tools I intentionally own duplicates of.

I wouldn’t fuss about purchase date & whatnot because an insurance company is only going to care about the price tag. For what that’s worth, I wouldn’t sweat that on the spreadsheet either. I wouldn’t want it to matter what I paid for something five years ago because I know so many of my tools have gone up in price since. I bought a master torx bit set about eight years ago off the MAC truck that shot up a hundred bucks a couple months after I bought it. I’m not going to eat that extra hundred bucks for any insurance company. If you’re going to figure the price tag out, don’t do the math on what you paid then, do the math on what it would cost to replace now.

Conversely, I’ve also kept nearly every receipt for all my tools since I started wrenching professionally. It would include a lot of receipts for tools that have been destroyed, lost, and stolen. I’d like to tally all that up some day too, but free time like that is better spent elsewhere. 😀

Its up too I think we might get more input on a seperate thread but, I am interested as well. Also I have to say the best bet is do a video on each drawer and then do your inventory list one drawer at a time. It is how I am doing it. Yeah it is going to take forever but, until you have done it you won’t know how much insurance you really need. I have over 10k worth of tools easy. Yet you see how much I have not nearly as much as most older techs. I still have a ways to go with tools then there is the boxes themselves. They can be ridiculously priced.

If you have bought tools mainly through certain tool guys normally they can get you a list of all the tools you have bought through them and that can make your life easier.

no_common_sense In all honesty I have a huge lack of trust in people. While the guys I work with my 2 senior techs and my foreman I trust. The other people that come and go some of them are very shady plus we have a lot of truck drivers come into our shop and stuff. We have gotten over 4 of them fired in the last year for breaking rules. I would rather have a list in case someone decides to do something stupid.

I was never discouraging you from making the list, I was just suggesting that you probably didn’t have to be as detailed as you’re planning to be. Whatever you decide to is up to you. I hope it goes smoothly and swiftly for you.
